What should a professional quote include?

A professional quote combines clarity for the customer with sound internal costing. Key information should be easy to understand and unambiguous when reviewed later.

Header and identification

Typical details include provider, customer, contact person, quote number, date, project reference and a clear title. These identify the quote unambiguously.

Scope of services

Describe items clearly and include quantities and units. In larger quotes, item groups help organise related services.

Prices and options

Unit prices, subtotals and the total should follow a consistent structure. Show optional items separately so they are not confused with the binding main scope.

Terms and assumptions

Validity, execution assumptions, delivery scope, payment terms or exclusions may matter depending on the project. Not every quote needs the same details; the specific job determines what is relevant.

Internal review

Before sending, check quantities, prices, customer details, missing information and internal costing. With AI features enabled, CELVENO Assist can flag missing or unusual details, but it does not replace the user's review.

Put it into practice

A quick check before sending.

  • Correct customer, project and current revision?
  • Services, quantities and units complete?
  • Selling prices, options and total reviewed?
  • Validity, dates and terms clear?
  • PDF checked from the customer’s perspective?
