Importing from PDF or Excel: how a controlled import works

Many enquiries arrive as PDFs, Excel parts lists, screenshots or emails rather than ready-to-use quote data. A good import saves typing while keeping quantities, prices and technical details under your control.

Upload or import the source

The original file starts as a source. The next step is analysing its customer, item and quantity information.

Review recognised data

Table rows, descriptions and quantities can be formatted in different ways. Recognised content should therefore be visible and editable before import.

Match against company knowledge

Known items can be compared with catalogues, prices or previous quotes. This turns a document into a structured starting point.

Continue editing the quote normally

After import, follow the same steps as for a manually started quote: calculate, add options, review, create a PDF and record changes as revisions.

Put it into practice

A quick check before sending.

  • Correct customer, project and current revision?
  • Services, quantities and units complete?
  • Selling prices, options and total reviewed?
  • Validity, dates and terms clear?
  • PDF checked from the customer’s perspective?
